Section 1: Information concerning the collection of personal data

(1) In the following, we seek to inform you about the collection of personal data when using our website. Personal data is all data that can be related to you personally, e.g. name, address, e-mail addresses, user behaviour.

(2) The controller in accordance with Art. 4 Para. 7 of the EU General Data Protection Regulation (GDPR) is the Baden-Württemberg Cooperative State University legally represented by the President of the Baden-Württemberg Cooperative State University.

You can reach our data protection officer at our postal address with the addition "der Datenschutzbeauftragte" or at datenschutznoSpam@dhbw.de. The processing of this e-mail address for purposes of advertising or market or opinion research is prohibited.

(3) When you contact us by e-mail or via a contact form, the data you provide (your e-mail address, possibly your name and telephone number) will be stored by us in order to answer your questions. We delete this data once it is no longer necessary to keep it, or restrict processing of the information if there are legal storage obligations.

(4) If we use contracted service providers for individual functions of our services, we will inform you in detail about the respective processes at the bottom of page. We also specify the criteria set out for the storage period.

Section 2: Your rights

(1) You have the following rights with regard to us and the personal data concerning yourself:

  • Right of access (Art. 15 GDPR),
  • Right to rectification or erasure (Art. 16 and 17 GDPR),
  • Right to restriction of processing (Art. 18 GDPR),
  • Right to object to processing (Art. 21 GDPR),
  • Right to data portability (Art. 20 GDPR).

(2) You also have the right to lodge a complaint with a data protection supervisory authority concerning the processing of your personal data by us (Art. 77 GDPR).

Section 3: Collection of personal data when you visit our website

(1) If you only use the website for information purposes, i.e. if you do not register or otherwise provide us with information, we will only collect the personal data that your browser transmits to our server. If you wish to view our website, we collect the following data which is technically required in order for us to display our website to you and to guarantee stability and security (legal basis is Art. 6 para. 1 sentence 1 point f GDPR):

  • IP address
  • Date and time of the request
  • Content of the request (actual page)
  • Access status/HTTP status code, data volume transferred in each case
  • Website from which the request originates
  • Browser type and version, operating system used, language settings

The above information will be stored for a period of up to 6 weeks and then deleted or effectively anonymized.

(2) In addition to the aforementioned data, cookies are stored on your computer when you use our website. Cookies are small text files that are stored on your hard drive assigned to the browser you are using and through which certain information feeds back to the location that set the cookie (in this case, us). Cookies cannot execute programmes or transmit viruses to your computer. They serve to make the website more user-friendly and effective overall. The legal basis for the processing of personal data using cookies is Art. 6 para. 1 point f GDPR.

(3) We use cookies to make our website more user-friendly. Some elements of our website require that the requesting browser can be identified even after a page change.
The following data is stored and transmitted in the cookies:

  • information about the registered person (in the case of a login)
  • self-selected settings (e.g. font size)

The user data collected by cookies required for technical reasons are not used to create user profiles. This data is not permanently stored, the cookies are deleted when you close your browser (known as session cookies).

(4) We also use cookies on our website to enable us to analyse the surfing behaviour of users. This serves the purpose of improving the quality of our website and its content. We use analysis cookies to learn how the website is used so that we can continuously improve our services.

On our website we use the open source software tool Matomo (formerly PIWIK) to analyse the surfing behaviour of our users. Whenever individual pages of our website are accessed, the following data are stored:

  • IP address, shortened to the two leading bytes (this anonymization takes sufficient account of users' interest in the protection of their personal data)
  • web page accessed
  • website from which the user accessed the web page (referrer)
  • subpages accessed from the web page accessed
  • time spent on the web page
  • frequency with which the web page is accessed

This software runs exclusively on the servers of our website. The user's personal data is stored here and nowhere else. The data is not passed on to third parties.

The data is deleted as soon as it is no longer needed for our recording purposes.

The use of analysis cookies can be prevented by setting the "Do Not Track" header in the browser or by using the opt-out function in Matomo. In the latter case, another cookie is placed on your system which signals our system not to store the user's data. If the user deletes the corresponding cookie from their own system in the meantime, they must set the opt-out cookie again.

(5) Cookies are stored on the user's computer and transmitted to our side by that computer. This means that you as a user also have full control over the use of cookies. You can deactivate or restrict the transmission of cookies by changing the settings in your web browser. Cookies that have already been saved can be deleted at any time. This can also be done automatically. If cookies are deactivated for our website, it is possible that you will not be able to use all of the website functions to their full extent.

You can decide here whether a unique web analysis cookie may be stored in your browser in order to enable the operator of the website to collect and analyse various statistical data. If you wish to opt out, click the following link to place the Matomo deactivation cookie in your browser. 

Section 4: Further functions and services of our website

(1) In addition to the purely informational use of our website, we offer various functions that you can use if interested. This includes forms for the following purposes:

  • Contacting the DHBW, support requests
  • Registering for events
  • Subscribing to the newsletter 
  • Registration (creating an account)
  • Offers in the training network

As a general rule, you will be required to provide further personal information that we use to perform the relevant function and to which the aforementioned data processing principles apply. In addition to the respective form fields, the following data may also be saved automatically:

  • IP address
  • Date and time of the request

Your consent is obtained for the processing of data in connection with the filling out of the form and we refer you to this data protection policy. The legal basis is Art. 6 para. 1 sentence 1 point a of the GDPR.

The data mentioned remain stored as long as they are necessary or until you request a deletion.

(2) We sometimes use external service providers to process your data. These have been carefully selected and commissioned by us, are bound by our instructions and are inspected regularly.

(3) We may also disclose your personal information to third parties when we offer promotions, prize draws, contracts or similar services in conjunction with partners. You will receive further information on this when you enter your personal data or in the description of the offer at the bottom of page.

(4) If our service providers or partners are based in a country outside the European Economic Area (EEA), we will inform you about the consequences of this circumstance in the description of the offer.

Section 5: Objection to or revocation of consent for the processing of your data

(1) If you have given your consent to the processing of your data, you can revoke it at any time. The revocation of consent does not affect the lawfulness of any processing carried out on the basis of the consent granted up to the point of revocation.

(2) You may object to the processing of your data insofar as we base the processing of your personal data on the weighing of interests pursuant to Art. 6 para. 1 sentence 1 point f of the GDPR. In the event of an objection in this regard, we ask you to explain the reasons why we should not process your personal data as we have been doing. If you raise a justified objection we will examine the facts and either discontinue or adapt the processing of the data or point out our compelling legitimate grounds on the basis of which we will continue the processing.
